We appreciate you visiting the procedures outline for new customers. This page will display an outline of items and procedures which new customers should expect during the course of any given project.* Some projects may require individualized procedures, but for the most part this information is a good resource on what to expect from Boise Direct, and what Boise Direct will expect from you.

NEW CUSTOMER ORIENTATION:

“Good Morning, Boise Direct” are the first things you should hear when calling to our Boise, Idaho based operation. As a new customer you should be asked the company which you are associated with, and the state you are located in. This information will allow us to put you in-touch with the appropriate sales and customer service team. Once you are in-touch with your sales and or customer service team you will be asked to provide them with a detailed scope of your project needs, so we are able to determine if we are able to complete all of your desired objectives within your time-guidelines. If we find a match under both circumstances, an official quote can be prepared and sent to you. Please note that in-order for Boise Direct to process a services quote, we will need to have additional information including e-mail address, phone numbers, and addresses. You can also visit the “Get a Quote” section of this site to request a quote for services. Once all terms are agreed upon by both parties the time-line will begin. Boise Direct offers faster turn-around times than most competitors by maintaining a strict production based schedule. The schedule is based upon a 12 business day turn-around. Please note this figure does not include transit time. For best results we suggest planning ahead upwards of four to five weeks before shipping. Terms of our 12 business day turn-time are detailed in the following sections of this outline. We are now ready to begin the process of completing your project; below you will find the steps each one of our contracted projects will follow, and the time to expect in each step of the process.

DESIGN AND ON-LINE COLLABORATION:

We at Boise Direct Mailing Services will do our best to take the pain out of your design process. This process in which we take design vision apart piece by piece and put it back together in a much more effective and dynamic fashion requires two-way communication, and it takes time. Delays in getting photos/text/etc. to us will also delay the finished product. A simple design can take a matter of hours, but complicated designs can take upwards of five days. Please note that our average time in the design studio is approximately three working days from start to approval. While your design is under construction, you can expect work to begin with an initial draft for your review (click on the file name on the left to view.) In this first phase of production, you will make necessary revisions to text and/or graphic design by using the change request button (be clear and detailed.). When your design project is completed and ready for your final review, check the files you would like to approve, and click the approve button. At this point you will be prompted to double check all information for accuracy, by following the approval checklist, check mark each selection and fill out all of the required and appropriate information. You will not be able to approve a design proof without filling all required fields. An e-mail will be generated and sent to your account manager, as well as a copy to you, for accuracy. Remember, this is your project and YOU have the responsibility for a final review! We upload for print what is approved by you. Please note that your design should be designed and approved within three business days. There are many things that can bring design to a standstill, so please be aware that we will need 9 working days from the time you submit an approval until we are able to ship your mailing from our facility!

PRINTING AND LIST AQUASITION:

Your approved artwork now has been delivered to the print end of production and will remain there for 6 business days. Boise Direct will not be able to change quantities or the approved artwork at this point. If changes are necessary there will be additional charges and scheduling issues. Please note that your project is usually combined with other active projects and your printed materials could hold-up other print, so your materials will be rescheduled to ensure the time-lines of other active projects. During the printing process you will be contacted to provide Boise Direct with the mailing list information. We use several list providers to match your project with your target market, and at anytime you can request a set of preliminary demographics to select your mailing list. Boise Direct list acquisitions and data processing team can help you select the best possible list. Any delay in list acquisition will delay the final delivery. The list acquisitions process must take place within the allotted 6 day printing window. If your list is not approved and or provided to the data processing team within that window, your project will be re-scheduled based upon a three day production requirement.

POSTAGE INVOICES:

Once a mailing list is acquired and processed, a postage invoice will be created and e-mailed to you for your immediate payment. Boise Direct requires that all postage invoices must be paid in full before your project will leave our facility. We will hold your completed mailing until our accounts show that your postage invoice has been paid, and then and only then will Boise Direct release you’re mailing. Please note that we do not accept credit card payments. Boise Direct requires all customers to use Electronic Funds Transfer. To establish an account with Boise Direct, please ask your sales or customer service representative for our EFT initiation form. This form will ask for detailed information which should be faxed back with a voided check. No funds will be transferred without your authorization. Your mailing will enter production and be addressed, but not checked-in with the USPS. We can not guarantee your mailing will leave our facility on-time if the invoice is paid on the third and final day.

ADDRESSING AND QUALITY CONTROL:

Our production team has several years of training and experience which allows us to address and run quality control checks in an effective and timely manner. Boise Direct requires a three day production period, where all materials are combined. The three day production period includes the completed projects being qualified by the USPS and run through a series of checks and balances.

SHIPPING:

Your mailing is now ready to leave Boise Direct. All Postage has been paid, all pieces of the puzzle have been submitted, and production has created a high quality product that is ready for your customers to see. Boise Direct will now load your completed project onto one of our contracted freight provider’s vehicles for delivery to your local USPS location, or the final destination you require.

Travel time varies from location to location, but Boise Direct employees have transit time maps to help you select the best possible time for your project to make their final destinations.

Please note Boise Direct has the ability to help your project meet a date that it will arrive at it’s final destination, but do not have control or tracking abilities once your project enters either the USPS or any final destinations. We council customers that your mailing will most likely enter resident mailboxes within a 24 to 72 hour period after final delivery to the USPS, but these times can be skewed by holidays, weather issues, or other events out of our control. Please communicate and remember the average time it takes from the point it leaves Boise Direct until the mailing arrives in resident mailboxes. This will aid in picking future ship dates. Boise Direct also encourages you to establish a working relationship with your USPS representatives. This relationship will allow you to have a better understanding of the inner USPS workings.

Boise Direct will also ship any extras or spare pieces of the project to you on UPS ground base services. If you require faster delivery times, please make your sales representative or customer services representative aware in the initial order process. Additional services for faster delivery are available for additional cost. You should expect extras to be shipped after your mailing is completed, and average transit time is approximately four working days.

SERVICES INVOICING:

Now that your project is complete Boise Direct will create an invoice for the printing and mailing portion of your project. Invoices are usually created and e-mailed within five business days from completion. The terms for print and services is net thirty days.

Please call the accounting staff at Boise Direct with any questions or concerns relating to invoicing. Your customer service and sales representative may not have access to the invoicing side of your accounts, therefore the accounting staff should be your main contact on any invoicing issues.
